Terms & Conditions


Please read these Terms and Conditions (T&Cs) carefully before booking. Bookings made online will be confirmed by email. A booking is confirmed when we receive payment and receipt of payment constitutes acceptance of these Terms and Conditions.

We reserve the right to make amendments to our T&Cs at any time as a result of statutory requirements or changes within our organisation.

Bookings: You can make a session booking using our online link and payment software, or by calling 07710 981776. Child safety is our top priority and our staff will not be contactable while coaching, so in the event that you call while we are working, please leave a message and we will call you back. During camp times, a separate number will be provided for our Camp Administrator, enabling messages to be provided about any children attending that specific course.

We accept payment by credit card and debit card online. We do not accept payment by cheque, American Express, PayPal or cash.  All bookings must be paid in full at least two weeks before the course start date or your children will not be able to attend. Places for our holiday camps are limited and parents are advised to sign up and make payment as soon as possible.

As part of our sign up process, you will be asked to provide us with specific personal information, including details of any allergies or special requirements your child has, and emergency contact details. We will not be able to accept your child onto the course without this information and will hold this information securely in line with the requirements of Data Protection regulation.

Payment and cancellation: Payment is due no later than 2 weeks before each course takes place. In the event of cancellation by parents, refunds will only be given where two weeks notice has been provided by email to hello@kingsbridgecoaching.co.uk. In the event of cancellations, an admin fee of £3 will apply to each cancellation to cover transaction costs. No refunds will be payable for cancellations less than two weeks before sessions are due to start.

In the unlikely event that insufficient children are booked onto a course, we reserve the right to cancel and will provide you with a full refund.

Health and Safety: Please ensure your child is appropriately dressed for the weather and for a sports camp - jogging bottoms, shorts, trainers and t-shirts / sweaters work well. Most of our activities will take place outside. Please ensure sun screen is applied if the weather is fine, and that a coat and warm clothing are worn in the event of rain or cold weather. Please ensure your child brings a water bottle.

Special requirements: We recognise that the needs of individual children vary, and will aim to accommodate children with specific needs and/or medical conditions as far as reasonably possible. It is our policy not to exclude any child due to specific needs and/or medical conditions wherever possible.

It is the responsibility of the parent/carer to inform us of any medical conditions and special educational needs or disabilities, so we can discuss how best to accommodate the child, and consider whether any reasonable adjustments can be made to ensure they are able to fully participate and enjoy the activities within the staffing ratios provided for their age group. Note that we cannot provide 1:1 support and access to some of the sites we use can be limited (for example a steep ramp at Compstall Cricket Club). Making physical adjustments to land and buildings is outside of our control.

Lunch and snacks: All food is to be provided by parents. For children attending full day courses there will be a break for lunch, where children can eat the packed lunch their parents provide. We do not have refrigeration available, so please consider this when packing your child's food. Please do not include peanut products in your child's lunch. In the event of any child attending having severe allergies to other products, we will let parents know in advance. There will be other short breaks throughout the day, so you may wish to provide additional healthy snacks.

Behaviour: We promote a fun, inclusive and supportive environment and expect children to behave kindly to one another and follow basic rules when asked to by our coaches. This is to ensure that we keep your children safe and that everyone enjoys their time with us. Our coaches have responsibility for ensuring the well-being and safety of all children in attendance and have approved procedures for managing behaviour.  We follow a zero tolerance policy on discrimination, bullying and persistent poor behaviour of any kind, irrespective of any special needs. In the rare event of more serious cases, we reserve the right to ask parents to remove children from camp either for the remainder of the day (part exclusion), or for the rest of the season (full exclusion). No refund will be made for any remaining days booked, and any costs associated with the exclusion will be the parents’ responsibility.

Late fees: In the event that you are late to collect your child (outside of the time you have paid for), you must let our Camp Administrator know immediately. For delays, a surcharge of £5 for every 15 minutes will apply up to 5pm.

In the event that you do not collect your child by 5pm, two members of staff will wait with your child until they are collected. You will be charged a late pick-up fee of £10 for every 15 minutes after 5pm to cover the additional staffing cost. 

Our Camp Administrator has sole responsibility for discretion in waiving charges and waivers will only apply in exceptional circumstances. Please do not approach coaches about waiving payment as they are not authorised to agree waivers directly.

If we have no contact from a parent/guardian by 5.30pm, we will contact Social Services to advise them we have an uncollected child. We reserve the right to refuse future bookings from parents who continually pick up late.

Notice of Absence: If a child is not attending a scheduled day on camp, parents/carers must telephone the our Camp Administrator to allow us to update records.

Personal Property: All your child’s personal property is your responsibility and we cannot be liable for any lost or damaged property. If you believe that your child has left an item behind, please contact the Camp Administrator who will do their best to assist you. Lost property will remain in a box on site until the last day of each camp and should be collected before the last day. Unclaimed lost property will be donated to charity.

Mobile Phones and Electronic Devices: Mobile phones and electrical devices are allowed on site, however must not to be used during camp activities. If found using mobile devices during activity time, children will be asked to place the device in a secure location on site. The device will be returned to the authorised parent/carer at the end of the session. We trust children to use mobile devices sensibly. In the event that this trust is breached, parents will be informed.

Insurance: All children in our care are covered by our Public Liability Insurance.

Parent Feedback / Complaints: We value our partnership with parents and use your feedback to develop and improve our services. If you have a concern regarding our course/s, this should initially be raised with the Head Coach on site, and if you remain dissatisfied, please contact our Camp Administrator either by phone (details will be provided upon booking) or by emailing hello@kingsbridgecoaching.co.uk

Safeguarding: We have a legal obligation in relation to safeguarding and any suggestion of child abuse or neglect will be reported to the relevant local authorities and agencies.
